The privacy statement applies to all personal data obtained via the websites of Gent ICC or via another channel of Gent ICC and is in line with the new European GDPR legislation on the processing and protection of personal data.

When you sign up for one of our services, we ask you to provide personal data. We can ask you the following personal data; name, first name, telephone, address, language and e-mail address. The data is used to perform the service correctly. The data is stored on Gent ICC’s own servers or those of a third party. We shall not combine this data with other personal data we have available.
When you send us an e-mail or a different message, we may store those messages. Sometimes we will ask you for your personal data that is relevant to the situation in question. The personal data that we can request is: name, first name, telephone, address, language and e-mail address. This allows us to process your questions and answer your requests. The data is stored on Gent ICC’s secure servers or those of a third party. We shall not combine this data with other personal data we have available.
Most browsers are set to accept cookies by default, but you can reset your browser to refuse all cookies or to indicate when a cookie is being placed. However, some features and services on our and other websites may not function properly if cookies are disabled in your browser.
We do not collect or use information for purposes other than the purposes described in this Privacy Statement, for the use of our services and communication, unless we have obtained your consent for this in advance.
We may provide third parties with the data that you give to us if this is necessary for carrying out the aforementioned purposes. In some cases, the information may be shared internally, so our employees are obliged to respect the confidentiality of your data.
Gent ICC shall never transmit personal data to other parties with whom we have not entered into a processor agreement. We shall naturally make the necessary arrangements with these parties to guarantee the security of your personal data.
Furthermore, Gent ICC shall not pass on the data you provide to third parties, unless this is legally required and permitted. We may also share personal data with third parties if you give us permission in writing. You have the right to withdraw this permission at any time. We do not provide personal data to parties which are located outside the EU.
Personal data and protection
Gent ICC does not store personal data for longer than necessary for the purpose for which it was provided or required by law. The personal data shall be removed from our customer database after a maximum of 5 years of an inactive period and it shall be removed from our accounting database after a maximum of 7 years.
You have the right to access and the right to rectification or erasure of the personal data we have received from you. Our contact details are located at the bottom of this privacy statement. To verify your identity, we ask you to send a copy of the front of your ID card. We strongly advise you to make your passport photo invisible and to mention that it is a copy.
You can also object to the processing of your personal data (or a part thereof) by us or by one of our processors.
You also have the right to have Gent ICC transfer the data you provided to yourself or, on your behalf, directly to another party. We may ask you to identify yourself before we can respond to the aforementioned requests.
Gent ICC aims to protect your personal data as well as possible. This happens both through technical and organisational measures. For instance, we have taken the following measures:
All persons who are able to access your data on behalf of Gent ICC are obliged to maintain their confidentiality.
We use a username and password policy on all our systems.
Personal data is backed up to be able to recover from physical or technical incidents.
